CMS, DAM and PIM: what each one manages, and why a catalogue needs all three

Pages, media and product facts are three kinds of content with three kinds of system. What a CMS, a DAM and a PIM each do and how they work together.

A product page on a website is made of three things: the words and layout around it, the pictures, and the facts about the product. Each has a system designed for it.

01CMS: pages and articles

A content management system holds editorial content and decides how it is laid out and published. It is good at pages, navigation, drafts and approvals. It is poor at holding a thousand products with forty attributes each.

02DAM: media files

A digital asset management system is the library for images, video, design files and documents. It stores each file once, describes it so it can be found, tracks usage rights and delivers it in the size each channel needs.

03PIM: product facts

A product information management system holds structured data about each product: names, descriptions, dimensions, materials, certifications and translations. It checks completeness and sends each channel the fields that channel requires.

04How they work together

  1. The PIM holds the product and its attributes.
  2. The DAM holds its photographs and data sheets, linked to the product.
  3. The CMS builds the page, drawing facts from the PIM and media from the DAM.
  4. The same PIM and DAM also feed marketplaces, catalogues and distributor portals.

A change made once in the PIM appears everywhere. That is the reason to separate the three.

05When one system is enough

A company with a few dozen products and one website can keep everything in its CMS. The case for a PIM and a DAM grows with the number of products, channels and languages.

  • Small catalogues can live in a CMS; large or technical ones cannot.

What is a headless CMS?

A CMS that stores content without being tied to one website and serves it to any channel through an interface. It suits companies publishing the same content to a site, an app and other surfaces.

Is a PIM the same as an ERP item master?

No. The ERP holds what is needed to transact: code, unit, cost. The PIM holds what a buyer needs to choose: description, specifications, images. They refer to the same item and should be kept in step.

Can AI help maintain product data?

Yes. Extracting attributes from supplier sheets and old descriptions, standardising units, detecting duplicates and tagging images are tasks it handles well, with a person reviewing the doubtful cases.
