A search for the best CRM company can mean three different things. You may want a product to subscribe to, a firm to set one up and tailor it, or a team to build one around a sales process no product fits. The right name depends on which.

So this list is in three groups. We are on it ourselves, in the last group, and say so. The sections after the list explain how it was made and how to choose.

Companies are grouped by what they do, and the order within a group means nothing. Each entry gives two public facts — where the company is based and what it makes — and no prices, market shares, funding figures or rankings. 01How this list was made

Three tests for inclusion: customer relationship management software is the company's product or a large, named part of its work; what it does is publicly documented, so the one-line description can be checked; and it is used well beyond one city or one customer.

02Which kind do you need?

  • Your sales process is ordinary and you want to start this month: a CRM product. Choose by fit to your team's size and the tools you already use.
  • You have chosen a large platform and need it set up across countries and departments: an implementation firm.
  • Your process is unusual, such as long technical sales, dealer networks, or deals tied to stock and production: a CRM built to order, or an extension to the one you have.
  • You already own a CRM nobody uses: find out why before replacing it. The cause is often duplicate records or missing connections, which can be fixed in place.

03Questions to ask any of them

  1. What will it cost over five years, not at purchase: licences, implementation, customisation, upgrades and support?
  2. How much of our process must change to fit the product, and how much of the product must change to fit us?
  3. Can we take all our data out, in full and in a usable form, whenever we choose?
  4. What does it connect to out of the box, and who builds and maintains the connections it lacks?
  5. Where does our data sit, and who can see it?

Questions

Which is the best CRM company?

There is no single answer, because the companies on this list do different jobs. The best product for a five-person sales team is not the best platform for a multinational, and neither is the right choice for a company whose sales process no product models. Start with the group that matches your need.

Which CRM is most widely used?

Salesforce is the largest CRM platform, and HubSpot, Microsoft Dynamics 365 and Zoho are each used very widely. Wide use tells you a product is proven and that people who know it are easy to hire; it does not tell you it fits your process.

When should a company build a custom CRM?

When the sales process is what sets the company apart, when per-user licence costs have outgrown the cost of owning a system, when deals depend on live data from ERP or production, or when customer data must stay on the company's own infrastructure.
