Where AI helps, department by department

A practical list of where AI earns its place in finance, procurement, stores, operations, sales, marketing, HR and leadership, with the data each use needs.

The useful question is never where AI could be used. It could be used everywhere. The useful question is where a department has a task that is frequent, rule-bound or reading-heavy, with data good enough to work from.

This list is organised the way a company is, so each head of department can find their own section.

01Finance

  • Checking every payment and invoice for duplicates and anomalies before the money leaves
  • Reading invoices into the ledger
  • Reconciling accounts and explaining the differences
  • Needs: a clean vendor master and payment history

02Procurement and stores

  • Checking stock everywhere before a purchase order is raised
  • Comparing prices for the same item across suppliers and sites
  • Finding duplicate and substitute items in the material master
  • Flagging slow and dead stock
  • Needs: material data with specifications, and stock by site

03Operations and maintenance

  • Finding the right manual, drawing or procedure by asking a question
  • Summarising shift logs and incident reports
  • Spotting patterns in breakdowns and quality records
  • Needs: documents that can be read, and consistent equipment records

04Sales and customer service

  • Drafting quotes and replies from past examples
  • Answering routine questions and passing the rest to a person
  • Summarising a customer's history before a call
  • Needs: a customer record that is one record

05Marketing

  • Being found in search and cited by AI assistants
  • Producing and testing variations of adverts
  • Product imagery and short films without a studio day
  • Reporting which spend produced which result
  • Needs: tracking that works, and clear facts about the company

06People and leadership

  • Answering staff questions on policy from the policy itself
  • Searching contracts and obligations
  • Turning scattered reports into one view for decisions
  • Needs: documents in one reachable place, and agreed access rules

07Choosing among them

Pick the use with the clearest cost today and the most ready data. In most industrial companies that is in finance or in procurement and stores, where the waste is countable and the records already exist.

Nothing on this list should decide matters about individual people without a human review.

In short

  • Look for tasks that are frequent, rule-bound or reading-heavy, with usable data.
  • Finance and procurement usually offer the most countable first wins.
  • Every use depends on a specific kind of data being in order.
  • Start with the clearest cost and the readiest data.

Questions

Which department should go first?

The one with a problem that can be counted and data that is closest to ready. Enthusiasm matters too: a willing owner beats a perfect use with no champion.

Can one system serve several departments?

Yes, when they share the same underlying data. Understanding of materials, for example, serves stores, procurement and finance at once.

Is AI in HR risky?

Answering policy questions is low risk. Anything that screens, scores or decides about a person needs care, transparency and a human decision.
